Objective

To ensure that all parents/legal guardians have the opportunity to object to the Portland Public Schools and/or local media photographing, videotaping or recording their students’ names, pictures or work.

Process

Lead Secretary:

1.       Distribute a Media Opt-out Form to the parents/guardians of each student ANNUALLY as part of the first day packets.

2.       IF the completed form is returned and parents/guardian object to the use of a student’s name, picture or voice, code the Pentamation field (within the student record on the Permission screen), Media as follows:

 

¨       IF the parents/legal guardian objects to the use of the student’s name, picture or voice in school system media (school newsletters, Portland Partnership newsmagazine, TV3 programs, etc.) during the 2004-2005 school year -–code Pentamation no school.

¨       If the parent objects to the use of the student’s name, picture or voice in other media (local newspapers, programming by radio stations and commercial television stations, etc.) during the 2004-2005 school year – code Pentamation no other.

¨       IF the parent objects to the use of the student’s name, picture or voice in BOTH school and other media – code Pentamation none.

 

3.       File the completed Media Opt Out Form in the student “cum” files.

4.       IF the completed form is NOT returned, Pentamation will default to YES.

5.       Print 1 copy of school’s Student Media Opt-out Report (all students whose parents/legal guardian objected) and retain in the school office for reference.

6.       Update the report as new students enroll or as new forms are received.

 

Teachers:

1.       Collect Media Opt-out Forms from students.

2.       Return forms to Lead Secretary.

3.       IF a request is made to photograph, videotape or record students’ names, pictures or work through the media (examples include: TV3, Portland Partnership Newsmagazine, local newspapers, etc.), check the Student Media Opt-out Report to ensure that the parents/legal guardian has not objected to such publication.

4.       IF the parent/legal guardian objects, do not allow student’s name, picture or voice to be publicized.

NOTE: Releases are not required for events open to the public such as evening concerts, performances and graduation ceremonies.
